Between client care, managing schedules, and tackling never-ending paperwork, running a practice can quickly take over your life. In our recent lunch and learn, we sat down with online business manager Jen Balletto to discuss how practitioners can optimize their behind-the-scenes operations.

Here is an overview of the three core systems Jen recommends to streamline your business and help you head home earlier every single day.

TL;DR:
Streamline and speed up your daily operations by implementing systems around client follow-ups, end-of-day routines, and weekly planning. This will eliminate decision fatigue, automate your workflows, and reclaim your personal time guilt-free.

System 1: Client Follow-Up And Rebooking

Most solo practitioners manually track who needs to rebook, who should get a follow-up, and when to reach out. Every client who doesn't rebook becomes another decision you have to make - and that's exhausting! Jen recommends putting this entire workflow on autopilot using practice management software.

The system: Put rebooking on autopilot with ClinicSense automation:

  • Wellness Check-Ins: Set up campaigns that remind clients when it's time to book again.
  • Waitlist Management: Automatically invite someone on the waitlist to book, or trigger for yourself to select who should take a cancellation spot.
  • Feedback Requests: Automatically send an email to clients the day after their appointment to ask for their feedback. This makes them trust you more, book more appointments, and recommend you to their friends and family.
  • Filling Scheduling Gaps: Use tools, like an availability summary, to automatically email clients and let them know about upcoming gaps in your schedule.

System 2: End-Of-Day Closeout Routine

Most practitioners either stay late to finish notes and admin tasks, or they walk out with a mental to-do list they carry home. Either way, they're not actually leaving work, and the next day starts with scrambling.

According to a study published by the American Psychological Association, writing down uncompleted tasks significantly alleviates mental burden and can help you fall asleep faster.

The system: A 15-25 minute 5-step routine that clears your workspace & your mind:

  • Complete SOAP Notes: Use pre-built templates in ClinicSense so charting takes minutes, not your whole evening.
  • Process Your Task List: Knock out quick two-minute tasks, schedule upcoming items, and identify what can be automated later.
  • Review Tomorrow's Schedule: Take a quick glance at who is coming in so you can prepare personalized details and avoid a morning scramble.
  • Clear Your Workspace: Physically tidy up your treatment rooms and digitally close out open browser tabs and notifications so you do not wake up to yesterday's clutter.
  • Perform a Brain Dump: Write down every open mental tab left in your head so you know it will not be forgotten.

System 3: Weekly Planning And Priority Setting

Without a clear weekly plan, practitioners tend to function in a reactive mode, letting the most urgent daily tasks overshadow long-term business goals. Weekly planning helps structure your time, so that you have time for those tasks that actually move your practice forward.

The system: Spend 30 minutes once a week to prioritize tasks:

  • Brain Dump: Write down all business development, ideas, and admin tasks onto paper.
  • Select Top Three Priorities: Choose no more than three major objectives that would make the week feel successful.
  • Block Time For What Matters: Treat your priorities like client bookings and block out dedicated time slots for them on your calendar.
  • Decide What’s NOT Happening: Intentionally postpone lower-priority tasks to future weeks to eliminate guilt.
  • Build a 20% to 30% Buffer: Never schedule yourself at 100% capacity; leave structural room for lunch, breaks, and unexpected life events.
